Data Entry Operator – Job Description (Retail Store)

Position

Data Entry Executive / Back Office Executive

Reports To

Store Manager / Accounts Department


Job Purpose

To ensure accurate entry and maintenance of all product, purchase, stock and sales data in the store system.


Key Responsibilities

1. Product Master Management

  • Create new product entries in software.
  • Update MRP, cost price, barcode and category.
  • Ensure correct GST and HSN codes.

2. Purchase Entry

  • Enter supplier invoices in system.
  • Verify purchase quantity and price.
  • Ensure stock updates correctly in inventory.

3. Stock Management

  • Maintain accurate stock records.
  • Update stock adjustments and damages.
  • Support during stock audits and physical counts.

4. Price Updates

  • Update new MRP or cost price changes.
  • Ensure POS reflects correct pricing.
  • Coordinate with floor team for label updates.

5. Reports & Data Support

  • Generate reports for management:
    • Daily sales
    • Category sales
    • Dead stock
    • Fast moving items
  • Assist accounts with purchase and sales data.

6. Vendor Documentation

  • Maintain supplier invoice records.
  • File purchase bills systematically.

Daily Tasks

  • Enter daily purchase invoices.
  • Create new SKUs.
  • Correct barcode errors.
  • Generate daily sales report.
  • Check stock mismatches.

Skills Required

  • Good knowledge of Excel and retail software.
  • Fast typing speed.
  • Attention to detail.
  • Basic understanding of GST and retail billing.

Preferred Experience

  • 1–3 years in retail back office / supermarket operations.
